Final Push & Countdown Emails

Overview

The final week before a race is when urgency converts the procrastinators. These messages are short, number-driven, and deadline-focused. The goal is to convert the Skeptics — people who’ve seen earlier messages but haven’t acted yet.

The shorter the message, the better. At this stage, people know what the challenge is. They just need a nudge and a link.

1-Week Countdown

To: All staff
Subject: [Challenge Name] starts in 7 days — [X] people are ready. Are you?

One week out: [X] people across [X] teams have registered for [Challenge Name].

[Captain Name] from [Department] says: “[Short quote — e.g., ‘Our team is ready to go. We’ve been talking trash in our group chat all week.’]”

The challenge starts [date]. If you haven’t signed up yet, here’s the link: [link]

Base Template (2 Days Before)

To: All staff
Subject: Last chance — [Challenge Name] starts [day]!

[Challenge Name] kicks off [day]. We’ve got [X] participants on [X] teams — it’s not too late to join.

Last Chance (Day Before)

To: All staff
Subject: [Challenge Name] starts tomorrow

[Challenge Name] starts tomorrow. [X] of your colleagues are in.

You can still join: [link]

(You can also join after the race starts — but why not start with everyone else?)

Slack / Teams Reminder

Channel: #general or most active channel
Timing: 1–2 days before race start

[Challenge Name] starts [day]! [X] people are signed up. Last call to join before it kicks off: [link]

With rivalry angle:

[Challenge Name] starts [day]. Current standings: [Department A] has [X] racers, [Department B] has [X]. Still time to tip the balance: [link]

Captain nudge (DM to captains):

Hey [Captain Name] — [Challenge Name] starts [day]. Your team has [X] members so far. Any last recruits? Here’s the signup link if you want to share it one more time: [link]

Tips

  • Keep it to 2–3 sentences max. By this point, everyone knows what the challenge is. Don’t re-explain it.
  • Lead with a number. Current participant count or team count creates social proof and urgency simultaneously.
  • Include the start date prominently. People respond to deadlines.
  • Mention that late registration is OK. Some people avoid signing up because they think they’ve missed the window. A parenthetical like “you can still join after it starts” removes that barrier.
  • Nudge your captains privately. A quick DM asking them to share the link one last time can drive a final wave of signups.
  • Don’t create pressure. “Last chance!” is fine. “You’re missing out if you don’t join!” is not. Keep the tone inviting, not guilt-inducing.
